These Booking Terms & Conditions form the basis of your contract with Padel Travel

X Limited ("Padel Travel X", "we", "our" or "us"). Please read them carefully before

making a booking.

 

By making a booking, the lead booking name agrees to accept these Terms &

Conditions on behalf of all persons included within the booking.

 

1. Your Booking Contract

When you make a booking with Padel Travel X, you are entering into a contract with

Padel Travel X Limited as the organiser of your trip and related travel services.

Your booking is confirmed once we issue written confirmation and receive the

required deposit or full payment.

The lead booking name is responsible for:

Ensuring all information provided is accurate;

Making all payments due;

Acting on behalf of all travellers included in the booking; and

Ensuring all members of the party accept these Terms & Conditions.

 

2. Payments

A deposit is required to secure your booking unless otherwise stated.

The remaining balance must be paid by the balance due date stated on your invoice

or confirmation.

Full payment must be received no later than 8 weeks before departure unless

otherwise stated.

Failure to make payment by the due date may result in cancellation of your booking

and the loss of any monies already paid.

Prices may be subject to adjustment before booking confirmation in the event of:

Supplier cost increases;

Tax changes;

Currency fluctuations; or

Genuine pricing errors or omissions.

 

3. Changes or Cancellation by You

If you wish to amend your booking after confirmation, we will endeavour to assist

where possible, however changes cannot be guaranteed.

Any amendment, transfer or name change may incur administration fees together

with any charges imposed by suppliers.

All cancellations must be made in writing by the lead booker.

Cancellation charges apply as follows:

 

Time Before Departure Cancellation Charge

60+ days Loss of deposit

30–59 days 50% of total cost

15–29 days 75% of total cost

0–14 days 100% of total cost

 

Where flights or other non-refundable services are included, these may be charged

at 100% from the date of booking.

 

Refunds, where applicable, will normally be processed within 14–28 days.

 

No refunds will be provided for:

Unused services;

Missed departures; or Failure to hold correct travel documentation.

Deposits are non-refundable except where required by law.

 

4. Changes or Cancellation by Us

Occasionally we may need to make changes to your trip before or after booking

confirmation.

This may include changes to:

Accommodation;

Coaching schedules;

Coaches or instructors;

Venues;

Travel timings;

Transfers; or

Activities.

We reserve the right to make reasonable changes where necessary due to

operational requirements, weather conditions, safety concerns, supplier availability

or circumstances beyond our control.

If we make a significant change to your booking, we will notify you as soon as

reasonably possible and offer you the following options:

Accept the change;

Accept a suitable alternative (where available); or

Cancel and receive a full refund of monies paid to us.

Compensation may be payable unless the change results from unavoidable and

extraordinary circumstances.

If we are unable to operate your trip, you will be entitled to a refund of monies paid

for services not provided.

We are not responsible for independently booked travel arrangements or associated

costs outside your booking with us.

 

5. Price Changes

We reserve the right to increase prices up to 30 days before departure due to:

Supplier cost increases;

Currency fluctuations; or

Genuine errors or omissions.If any increase exceeds 10% of the total booking cost, you may:

Accept the revised price; or

Cancel your booking and receive a full refund.

 

6. Hosted Trips and Minimum Numbers

Padel Travel X trips are intended to operate with a dedicated host or representative.

Where a trip has eight (8) or fewer customers booked, we reserve the right to

operate the trip on an un-hosted basis.

In such circumstances, all accommodation, caching, transfers and other booked

services will continue as confirmed, but a dedicated host or representative may not

attend.

Customers will be notified in advance where a trip will operate un-hosted.

 

7. Padel Activities and Participation

Participation in padel coaching sessions, matches, fitness activities and associated

sporting activities is voluntary and undertaken at your own risk.

By participating, you confirm that:

You are medically and physically fit to participate;

You understand the physical nature of sporting activities; and

You accept responsibility for your own participation.

Padel Travel X accepts no responsibility for injuries, illness, loss or damage arising

from participation in sporting or physical activities except where caused by our

negligence.

Coaching sessions, academies and activities may be delivered by independent local

providers and coaches.

 

8. Supplier Responsibility

We work with independent hotels, clubs, academies, coaches, transport providers

and other suppliers.

Whilst we carefully select our suppliers, we are not liable for:

Acts or omissions of independent suppliers;

Closure of facilities; Coaching substitutions;

Weather disruption; or

Events outside our reasonable control.

Nothing in these Terms excludes liability where we are legally responsible under

applicable Package Travel legislation.

 

9. Travel Insurance

Comprehensive travel insurance is strongly recommended and may be mandatory

for certain trips or activities.

Your insurance should include cover for:

Medical expenses;

Cancellation;

Sports participation;

Personal belongings; and

Repatriation.

It is your responsibility to ensure your policy provides adequate cover.

 

10. Flights

Where flights form part of your package booking:

Flights are included within the package and are not treated as separate

purchases;

Airline schedules and operations remain the responsibility of the airline; and

Passenger rights relating to delays and cancellations are governed by

applicable UK and EU aviation regulations, including UK261 where applicable.

We will provide reasonable assistance where possible, however compensation

claims relating to airline delays or cancellations must normally be made directly to

the airline.

 

11. ATOL Protection

Where your booking includes flights and is sold as an ATOL-protected package, it is

protected by the Air Travel Organiser's Licence (ATOL) scheme.

This means that:

You will receive a refund if we become insolvent before travel; and

You will be repatriated if insolvency occurs whilst you are abroad.An ATOL Certificate will be provided where applicable.

 

12. Package Travel Regulations

Your booking may be protected under the Package Travel and Linked Travel

Arrangements Regulations 2018.

These regulations provide important rights, including:

Refunds for cancellations by us;

Protection against significant changes; and

Assistance if you are in difficulty during travel.

Full details of your rights will be provided where applicable.

 

13. Passports, Visas and Health Requirements

You are responsible for ensuring that you:

Hold a valid passport;

Meet all visa and entry requirements; and

Comply with any health or vaccination requirements applicable to your

destination.

Padel Travel X accepts no responsibility if you are unable to travel due to

incomplete, incorrect or invalid documentation.

 

14. Behaviour

We reserve the right to refuse travel or remove any customer from a trip where their

behaviour is considered:

Disruptive;

Abusive;

Dangerous;

Offensive;

Intoxicated; or

Likely to negatively affect the safety or enjoyment of others.

In such circumstances no refund will be provided and we will have no liability for any

resulting costs or losses.

 

15. Complaints

If you experience a problem during your trip, you must notify us or the relevant

supplier immediately so that we have an opportunity to resolve the issue.

Any complaint submitted after travel must be made in writing within 14 days of your

return date.

 

16. Photography and Marketing

During trips we may take photographs and video content for promotional and

marketing purposes, including use on our website, social media channels and other

marketing materials.

By participating in a trip, you consent to such use unless you notify us in writing

before travel.

 

17. Force Majeure

We cannot accept liability for circumstances outside our reasonable control,

including:

Severe weather;

Natural disasters;

Pandemics or public health emergencies;

Government restrictions;

Strikes;

Transport disruption;

Political unrest; or

Supplier failure caused by unavoidable and extraordinary circumstances.

Where such events occur, refunds or suitable alternatives will be offered in

accordance with applicable legal obligations.

Compensation will not be payable where changes or cancellations result from

unavoidable and extraordinary circumstances.

 

18. Financial Protection

Padel Travel X Limited is a member of Protected Trust Services (PTS Membership

Number 6442).

Customer monies are protected in accordance with applicable financial protection

requirements.

 

19. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any dispute arising under or in connection with these Terms shall be subject to the

exclusive jurisdiction of the courts of England and Wales.
